The UEW Conference aims to attract a diverse audience, and therefore offers a variety of options and discounted rates to encourage participation. Registration for the 8th in-person UEW Conference is OPEN. Register by July 30, 2024, to secure your early bird discount.

The UEW 5-day Conference is structured as a 2-day Pre-Conference Workshops followed by 3-day Conference presentations and discussions. The Pre-Conference fees cover either one-day ($60/person) or two-days ($80/person) participation in the various hands-on and practical workshops scheduled for those days. Workshop spaces are capped at 30 participants. 

It does not cover participation in the 3-day main Conference.

Conference speakers and presenters will receive a free pass ONLY for the day and time of their presentation on the respective day with their confirmation/invitation. Volunteers receive a daily pass ONLY for the day they provide onsite service.

Yes, they are required to register for the Conference. Conference speakers and presenters will receive a free pass for the day and time of their presentation on the respective day with their confirmation/invitation. If they desire to participate in other sessions scheduled for the day or in any other day of the main Conference, a daily fee of $35/person (for foreign nationals) and $25/person for Ugandans will be applied.

For groups of more than 5 participants the rate is discounted by 10%. Please use this form to register a group.

 You can receive a refund minus any transaction fees if you request a cancellation/refund before 23:59, August 13th, 2024.

If you request a cancellation/refund from 00:01, August 14th, 2024, you will not be eligible for a refund.

If you cannot attend the Conference, your registration fee can be transferred to a substitute participant from your organization. Forward your confirmation email with details (full name, job title and email address) on who from your organization is attending instead to conference@ugandaevaluationassociation.org or call our Conference Team at (+256)752 456 789.

If you have booked a one or two-day Pre-Conference Workshop registration, you cannot split the registration between two or more participants across the two days.

If an incorrect registration has been purchased or you want to modify your registration, please contact ASAP the UEW Conference Team at conference@ugandaevaluationassociation.org or call at (+256)752 456 789 to help you correct your registration. Your place at the Conference will be unconfirmed until we have received full payment. Failure to pay will result in the registration being canceledljn

    Presenters

    No, the UEW Conference will not cover any travel costs or the registration fees for the presenters. However, there is a free pass for the day and time they do their presentations at the Conference.

    All conference rooms will be equipped with display screens, projectors, laptops, and internet connection. PA equipment will be available in larger rooms. 

    If the presenter wishes to use their own laptop, they are responsible for provision of all peripheral equipment including adaptors, convertors, and cable connectors for use with any additional equipment in Uganda.

    No, the Conference will not be broadcasted live.

    No, the UEW Conference is an in-person event. However, some of our presenters may be brought in via Zoom conference calls.

    The Conference takes place in English; however, some online sessions may have captioning services available.

    Please note that the UEW Conference will not provide translation services. Participants are welcome to bring a translator. Please get in touch for details on how to register a translator. Or use a free translation application during the event.

    UEW Conference captures photographs, video, and audio to use in newsletters and other promotional materials, whether in print, electronic, or other media, including the UEW Conference website. Participating in these events grants the UEW Conference the right to use your name and likeness for such purposes.

    We are committed to making the 8th UEW Conference accessible to the widest range of people possible. If you need special aide requirements, please let our Team know when registering and follow-up by an email at conference@ugandaevaluationassociation.org

    We will register your aide as a complimentary guest if you require an aide to help you navigate the venue. You may be asked to share details of your requirements. Any personal information you share with us will be treated confidentially and in accordance with the laws of Uganda.

    Travel and Logistics

    Please note that Visa is no longer obtained at the airport in Uganda. 

    You must apply for visa online prior to your travel date and pay online as directed via the portal. Allow 3-5 business days for processing. The visa costs USD 50 and it is non-refundable, and payments are subject to bank charges.

    Yellow fever is a severe and potentially fatal viral disease spread by mosquitoes in tropical parts of Africa and South America. It occurs in both jungle and urban environments.

    The Yellow fever vaccine certificate is mandatory, and travelers can be prevented from entering and exiting Uganda if they cannot show proof of a Yellow Fever vaccination. The certificate only becomes valid ten days after the vaccination.

    The UEW Conference recommends checking with your medical practitioner before departure to ensure you have received the necessary vaccinations and have been advised of additional requirements. Also, visit the CDC’s Travelers’ Health page for Uganda.

    Remember to bring hand sanitizer, sun lotion with SPF 30 or above, and insect repellent with at least 30% Deet.

    Entebbe International Airport is the major international airport serving the country of Uganda. Entebbe International is located near the town of Entebbe and serves the capital and largest city in the country, Kampala. The airport code is EBB.

    Entebbe International airport is located about one hour drive from Central Kampala. Regular airport taxi or Uber service are available at the airport, and it costs around $30-$35 for one trip.

    Generally, Uganda has a low crime rate, but petty and violent crime incidents do occur.

    Take common-sense precautions (not walking alone in deserted areas at night). Valuables and passports/IDs should be kept out of sight, and vehicles locked. Don’t carry important and portable items unless necessary. 

    Carry only the minimum amount of cash that you need for the day, only take a certified copy of your passport and visa and use caution when walking or driving at night. Always walk with at least one other person, and only walk in well-lit areas or use a known taxi recommended by the hotel even for short distances.

    Petty crime and crimes using distraction methods are common in public and tourist areas. Particularly pickpocketing, as well as purse and/or cell-phone snatching. Robbery and/or threats of robbery are also common in Kampala. If accosted, do not resist and comply with demands to turn over personal property. Remember that personal safety is of paramount concern.

    Avoid public transport. Public transportation vehicles, such as taxi vans (matatus) and motorbikes (bodaboda), are unsafe due to poor maintenance, high speeds, and overcrowding and periodic robberies inside unmarked vehicles. Use SafeBoda & SafeCar, Uber, or hotel shuttles/taxi services.

    Food and drinks should never be left unattended in public, especially in local clubs or open spaces.

    Do not engage in any political discussions and avoid expressing negative sentiments about the host country.

    Do not leave laptops, tablets, mobile phones, or other items unattended. If you leave any devices in your room, such as your laptop while going to dinner, lock them in your suitcase or safe boxes in the hotel room.

    Always wear the name badge provided at the event you are attending, including before and after the scheduled program.

    We do not tolerate unprofessional behavior or harassment in any form. Participants violating these rules may be sanctioned or expelled from all sessions, without a refund, at the discretion of the conference organizers. If someone is made to feel unsafe or unwelcome, please report it to the UEW Conference Team. 

    If you have lost something or found an item, please report this to the UEW Conference Team.

    There is no official dress code. However, business casual attire is appropriate for all participants. Remember to bring comfortable shoes and a sweater or sweatshirt in case of cool weather and air-conditioned rooms. Also, we recommend bringing a fan in case of hot weather and there is not sufficient ventilation in the rooms.

    Possession of items such as knives, guns, drones, and other gadgets is strictly prohibited, irrespective of whether these items are duly registered per Ugandan’s laws.
